Job Title: Office Manager – Tennessee-Tombigbee Waterway Development Authority

Overall Function: Supports the Administrator in achieving the primary goals of the organization by: bookkeeping, grant writing (or ability to learn), association management, detailed physical and digital filing capabilities, comprehensive MS Office Suite skills, providing secretarial duties, supervising assigned intern and part-time employees, and managing the day-to-day business of the organization at the direction of the Administrator. And other duties as assigned by the Administrator.

Specific Duties and Responsibilities:

Coordinates with CPA firm to administer the financial affairs for the organization to include payroll and benefits, accounts payable, accounts receivable, tax reporting, check writing, etc.

Assists in preparing and submitting requests for funding from member states of the Tennessee-Tombigbee Waterway Development Authority.

Assists in event planning, coordinates and directs organizational events such as the annual Tennessee-Tombigbee Waterway Conference, quarterly board meetings, public or organizational meetings, to include selecting and securing venues, arranging catering, handling invitations and RSVPs, preparing agendas and handouts, decorating and making theme decisions.

Collects and prepares minutes for business meetings held by respective agencies. Prepares agendas and other information required for various meetings. Handles catering for Board lunches. Keeps track of attendance, appointments and tenure and other records, as required.

Capable of handling outside communications for the organization to include social media, preparing and submitting press releases, maintaining website, newsletters and other communications related duties as required.

Attends board meetings, conferences, training events, experience-broadening events and social functions as required – which may involve reimbursed overnight travel.

Assists the board of directors of the Agnes Zaiontz Tennessee-Tombigbee Waterway Museum in carrying out its daily operations, such as fund raising, grant applications, scheduling, and conducting group tours and visits by the general public, and other administrative functions of the museum.

Assists the President of the Tennessee-Tombigbee Waterway Development Council and other associated agencies, such as the: Tenn-Tom Tourism Association, and the Tenn-Tom Marina Association.

Must live in the Columbus, Mississippi area.

Education Requirements: Minimum HS diploma. Some college or college degree preferred. Confirmed experience/qualifications acceptable alternative to college preference.

Language Skills: Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

Mathematical Skills: Ability to add, subtract, divide and multiply all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
